1. Good Night Sleep
Have you ever felt tired the day that you have an important presentation or deadline? Having a good night’s sleep is crucial to having a productive day for several reasons.
A good night’s sleep allows you to have a clear mind and helps you with better decision-making and problem-solving. When you are well-rested, your brain functions at an optimal level, allowing you to think clearly and make good judgments during the day.
In addition, being well-rested contributes to improving your mood and emotional well-being. Lack of sleep can increase stress, and irritability and may cause you to have a negative outlook at work. A good night’s sleep strengthens your emotional resilience, making it easier to handle workplace challenges and interactions.
Finally, being tired increases fatigue which can lead to distractions, decreased concentration, and a higher likelihood of making errors. The importance of a good night’s sleep directly impacts your ability to perform optimally at the workplace, so make sure you get at least 6-8 hours each night if possible.
2. Task Prioritization
This is a big one and a task I enjoy doing every day! Have you ever had a morning when you asked yourself “OMG! Where did the time go? We can sometimes lose track of time by catching up with a colleague or checking emails. To make sure you have a productive day take 5-10 minutes each morning to write down a to-do list for that day.
Once you have all your tasks written down, identify the 3 most important tasks and tackle those first. While it may seem counterproductive, tackling the most important tasks on your to-do list is essential because it ensures you work on high-priority items.
By focusing on high-priority tasks first, you make sure that the critical objectives are met, contributing significantly to the overall feeling of productivity. Try it and you will see what I mean!
3. Time Blocking Schedule
Time blocking is a game-changer! If you haven’t heard of time blocking, this is the practice of scheduling blocks of time for different activities or tasks which results in significantly improving your productivity.
The picture above is an example of my Google Calendar with my time blocks. As you can see, I add all my work-related tasks as well as my personal activities such as my morning routine, workouts, and lunch. (Yes I took the time to change all the calendar colors to a more neutral color pallet instead of having the bold screaming default colors.)
By assigning dedicated blocks of time to specific tasks, you minimize multitasking and distractions. This allows you to concentrate fully on one activity, leading to increased productivity and getting a better output.
Time blocking encourages you to plan out your day and week in advance, helping you to have a clear vision of what are the priorities for the week ahead. This proactive approach helps prevent last-minute rushes and ensures that important tasks are given the attention they deserve.
One thing I love about time blocking is that it keeps me accountable for my work-life balance. It allows me to allocate time for both my work and personal activities. It helps me avoid working nonstop and that work consumes all my time and energy.
4. Set a Timer
This is an easy win! Setting a timer can be a simple yet effective strategy to boost your productivity in the workplace. A timer creates a sense of urgency and time awareness.
When you know you have limited time you avoid procrastinating. Knowing that the timer is running can serve as a motivator to start and continue working on a task, preventing unnecessary delays.
Setting a timer for a specific task encourages you to concentrate on that task exclusively during the designated time which can lead to higher-quality work and greater efficiency.
5. Pomodoro Technique
The Pomodoro Technique is a popular time management method. It’s easy to do; it involves breaking down work into 25-minute blocks with zero distractions followed by a short break.
By dedicating your attention to a single task for a defined period, you are less likely to get distracted and more likely to maintain a high level of concentration.
This structured approach incorporates regular breaks, usually around 5 minutes, to help prevent burnout. These short breaks allow for relaxation and physical movement.
Finally, the technique emphasizes the importance of balancing focus with short breaks, contributing to a healthier work-life balance.
6. Mute Social Media
One of the biggest distractions people have not only in the workplace but also in their personal lives is social media. Every time I receive my weekly report from my iPhone I cringe, I can’t believe the amount of time I spend on Instagram and Pinterest.
Muting social media can significantly contribute to increased productivity in the workplace. Muting notifications during work hours helps minimize interruptions, allowing you to stay focused on tasks without the constant temptation to check updates.
In reality, social media can be a common gateway to procrastination. Constant alerts and updates can disrupt your concentration and increase the likelihood of getting distracted and making errors.
That being said, muting social media can help create a more positive work environment. Without distractions and potential negative emotions associated with social media content, you may have a more positive mindset.
7. Avoid Multitasking
This one is hard and I’m guilty of multitasking while working. Who doesn’t love to have their favorite reality TV show playing in the background while answering emails?
Multitasking can sometimes feel like you’re being productive but it might lead to errors or not remembering important details on a specific task.
Avoiding multitasking allows you to dedicate your attention to one task at a time, leading to better concentration and faster task completion.
Constantly switching between tasks can increase stress and fatigue. Limiting this behavior allows you to have more control and reduce anxiety and the feeling of being overwhelmed.
Focusing on one task at a time allows you to immerse yourself in the work and experience a sense of accomplishment upon completion. This positive reinforcement contributes to increased job satisfaction and motivation.
8. Turn Off Email & Chat Notifications
Similar to muting social media notifications, emails, and work notifications can be distracting as well. Without these notifications popping up every 5 minutes you can work with greater concentration on your tasks.
Notifications can be disruptive, pulling your attention away from important tasks. Constant notifications can contribute to feelings of stress and anxiety. Turning them off created a more relaxed work environment especially if you have an important deadline.
Receiving continuous notifications can contribute to information overload, making it challenging to prioritize and process information effectively. Muting notifications allows you to control when and how you receive information, preventing feeling overwhelmed.
After all, disabling notifications might encourage face-to-face or direct communication, fostering more meaningful connections with colleagues and reducing reliance on constant digital communication.
Without immediate notifications, you may be more intentional about checking and responding to messages during designated times which can lead to more thoughtful and proactive communication.
9. Take Breaks
Who doesn’t love that “TIME TO STAND” notification from their Apple Watch? It sometimes gives me more anxiety because I know I should get up but I have so much to do.
Taking breaks is essential for your overall health and for actually maintaining productivity. Taking a 5-10 minute break can help prevent burnout. If you don’t take regular breaks during the day you can suffer exhaustion and reduce your performance.
As a matter of fact, taking breaks can help with creativity by providing a mental break from the specific task at hand. Breaks also help to boost your mood and well-being. They also offer the opportunity to interact with your colleagues and build relationships.
Finally, a break can provide time for reflection and evaluation of your work. Taking a step back allows you to assess progress, identify potential improvements, and strategize for the next steps.
